What Excel really does well
Let's start by being honest: Excel is a remarkable tool. It was built to handle structured data, and it has excelled at that role for decades. For a volunteer schedule, its strengths are real and deserve recognition.
Calculations and formatting are powerful. You can automatically calculate each volunteer's hours, color-code time slots by team, sort assignments by date or role. With a few well-placed formulas, you get a readable, structured dashboard.
Filtering and sorting are instant. Need to see all the Saturday morning time slots? One filter does it. Want to sort by volunteer name? Two clicks. This flexibility is hard to match for quickly exploring a complex schedule.
Accessibility is universal. Almost everyone has Excel or LibreOffice Calc on their computer. No account to create, no training needed, no interface to learn. You send the file, the recipient opens it. It's simple, direct, and it works without depending on an internet connection or a third-party service.
The learning curve is close to zero for basic use. A grid of volunteers with their time slots is something anyone can put together in an hour. No dedicated software can match this ease of getting started.
These strengths are real. If you manage a small, stable team with a schedule that rarely changes, Excel can work perfectly well. The problem shows up elsewhere.
Why it derails when several people use the file
An Excel file handled by a single person is stable. As soon as you involve several coordinators, several volunteers updating their availability, or simply exchanging versions by email — things get complicated fast.
Multiple versions: the "schedule_final_v3_corrected.xlsx" nightmare
This is the most classic symptom. Someone sends the schedule by email. Someone else edits their own copy. A third person already had a previous version open. The result: three versions of the file coexist, with different changes, and nobody knows which one is authoritative. That's a real improvement for teams working together on the same file. The criterion isn't the size of your nonprofit by itself: some large teams have stable schedules that work perfectly well with a spreadsheet. Honestly ask yourself how much time the coordinator spends managing the schedule each week. If the answer is over an hour, you have your answer.
