Why tracking hours has become unavoidable
For a long time, precisely counting volunteer hours was just one good practice among others. That's no longer the case. Several processes, increasingly common for nonprofits, now require a reliable, documented count:
Grant applications (such as France's FDVA fund, or equivalent schemes elsewhere) ask organizations to value volunteering within their projected budget or income statement. A rough figure weakens the application; a precise count, by volunteer and by mission, strengthens it.
The financial valuation of volunteering, increasingly recommended or even required by auditors and certain funders, requires knowing how many hours were given, by whom, over what period — not a rough estimate at the end of the year.
Skills-based volunteering often involves a partner company that also needs to justify the hours given by its employees — for its own CSR or tax reporting.
Calls for projects and grants increasingly ask for proof of real activity, beyond statements of intent. A dashboard of hours actually delivered carries more weight than an estimate.
What a certificate of hours needs to include
A volunteering certificate only has value if it's precise and verifiable. The elements typically expected, in most use cases (grant applications, skills-based volunteering, funding files), are:
- The identity of the volunteer and of the nonprofit.
- The period covered by the certificate.
- The total number of hours completed over that period.
- The nature of the missions carried out (reception, logistics, supervision, admin work...).
- Ideally, a breakdown by date or shift, not just a global total — some funders explicitly ask for this to verify the figure is consistent.
- The signature of someone responsible in the nonprofit.
The more granular the detail, the better the certificate holds up to an audit or a request for further justification.
Current methods and their limits
In most nonprofits, hour tracking still relies on methods that hold up as long as volume stays low — and break down as soon as activity grows.
Paper sign-in sheets remain common for one-off events. They work as proof of presence on that day, but are then re-entered by hand into a spreadsheet — a step that takes time and introduces transcription errors.
Manual spreadsheets (Excel or Google Sheets) where someone adds up hours at the end of the month or year. This works as long as one person handles it and volume stays manageable. It becomes fragile once several coordinators manage teams in parallel: formats diverge, entries get forgotten, and no one has a consolidated, real-time view.
The coordinator's memory — "I know roughly how much Marie and Ahmed gave this year" — is the most common method in small nonprofits, and the riskiest. It holds up neither to a request for a precise certificate, nor to the coordinator who held that information leaving.
The shared problem across these three methods: they rely on manually re-entering hours, disconnected from the actual schedule. The count doesn't reflect what really happened, but what someone took the time to write down — with all the gaps that implies.

Making tracking reliable: start from what was actually scheduled
The most reliable way to count volunteer hours isn't to re-enter them after the fact, but to derive them directly from the schedule. If every volunteer is assigned to dated, timed shifts, the number of hours follows automatically from what was scheduled — and, ideally, from what was confirmed as completed.
This approach solves several problems at once. The count reflects real activity rather than an estimate reconstructed at month's end. It's available continuously, without waiting for grant-application season to recalculate everything. And it removes double entry: the schedule serves both to organize activity and to document hours, with a single source of truth.
This does assume the schedule reflects reality — which is why properly managing time slot swaps and last-minute absences matters: so the shift shown actually matches the shift completed.
Generating a certificate without re-entering everything by hand
Once hours are tied to the schedule, producing an individual certificate becomes a filtering operation rather than a reconstruction job. Select a volunteer, a period, and get the detail of shifts completed along with the corresponding total hours — without going back through a spreadsheet row by row.
This difference matters especially at year-end, when a coordinator needs to produce ten, twenty, or fifty individual certificates for a grant application or for employees doing skills-based volunteering. What would take hours of searching and manual recomposition in a spreadsheet becomes a near-instant extraction once the data is already structured by volunteer and by shift.
A concrete case: a grant application
Take a nonprofit that files a grant application every year. The form asks for the total number of volunteering hours over the fiscal year, plus a financial valuation based on a reference hourly rate. With a count derived directly from the schedule, it's enough to export the relevant period to get the exact total, broken down by mission if needed.
Without this kind of tracking, the same process usually means asking every team coordinator to reconstruct their own figures, comparing different formats, and reconciling discrepancies — work that can take several days and still ends up approximate.
