Frequently asked questions

How do I calculate how many volunteers an event needs?

Split each role into shifts of a reasonable length, multiply by the number of people needed at the same time and by the number of days to get the shifts to fill, then divide by the number of shifts one volunteer can take. Finally, add a margin for no-shows.

What no-show margin should I plan for?

Between 10 and 20% is common for a community event. Go up to 25% or more for outdoor events or events far from where your volunteers live.

How long should a volunteer shift be?

Shifts of 3 to 4 hours limit fatigue and make recruiting easier. Beyond 6 hours, plan a break and a meal.

Is my data stored?

No. The calculator works without an account and nothing is kept: close the page and your inputs are gone.
